  • Custom Trading Card Activation: 300+ WVU Mountaineers Cards in 5 Hours

Custom Trading Card Activation: 300+ WVU Mountaineers Cards in 5 Hours

    Quick answer

A custom trading card activation photographs each guest and prints them on a custom-designed, branded trading card on the spot. We ran one for West Virginia University at the 2026 Duke’s Mayo Classic in Charlotte and printed 300+ Mountaineers cards in 5 hours.

    • What it is: An on-site booth that prints real trading cards, not photo strips.
    • Speed: About 60 cards per hour (300+ in 5 hours).
    • Best for: Sporting events, employee appreciation events and brand activations.
    • Service area: Nationwide, based in Charlotte, NC.

Why trading cards beat photo strips

Photo strips end up in a pocket or the trash. A trading card gets kept, because people already know it as something to collect.

That makes the format a fit for three kinds of events: sporting events, where fans already collect cards; employee appreciation events, where recognition is the point; and brand activations, where you want your logo to outlast the day.

Case in point: WVU at the 2026 Duke’s Mayo Classic

West Virginia University brought us in through its agency partner to run the Custom Mountaineers Trading Card Experience at the 2026 Duke’s Mayo Classic in Charlotte.

Every card paired a fan’s own photo with the Mountaineers’ look, and fans left holding it. At one card a minute, a stadium crowd moved through without long waits.

How a custom trading card activation works

    1. Design the card. We build the card template from your logos, colors and approved marks. We also set the text fields, such as name, number, position and a stat line.
    2. Get sign-off. You, your client or the rights holder approve the design before event day.
    3. Capture. An attendant poses each guest for a pro-style action shot or portrait.
    4. Print on site. The photo drops into the template and prints as a finished card while the guest waits.
    5. Hand it off. The guest leaves with the physical card in a magnetic protective case.

The whole cycle takes about a minute to 2 minutes per guest.

Custom trading cards for sporting events

Fans already collect cards, so putting them on one is the most natural fit. It works on college and pro game days, at fan fests and tailgates, at season-ticket holder nights, on alumni weekends, and at youth league tournaments.

    • Fan card: Team colors, the fan’s name and a line like “Rookie Season: 2026.”
    • Youth player card: Jersey number, position and team name. Parents get a pro-style card instead of a standard team photo.
    • Sponsor card: The presenting sponsor’s logo sits in the card frame, so every card becomes a sponsor impression.

Team and league logos need rights-holder approval. We design with the marks the team or its agency provides.

Custom trading cards for employee appreciation events

A card built around one employee makes the recognition personal, and it ends up pinned to a desk instead of lost in an inbox. It fits service award banquets, company picnics, holiday parties, sales kickoffs and team offsites.

    • Roster card: Name, department as the “team” and job title as the “position.”
    • Service award card: Years with the company as the headline stat.
    • Sales kickoff card: Last year’s biggest win as the stat line.

Teams can trade cards to collect the whole department, which keeps people talking long after the event.

A branded card keeps your logo on a desk or shelf long after the event ends. It works at product launches, trade show booths, sponsor tents, retail events and conference lounges.

    • Brand frame: Your logo, campaign line, hashtag etc. on every card.
    • Product stats: Your product’s features as the card’s stat line.
    • Limited editions: A different card design each day or at each tour stop, which gives people a reason to come back.

How long to book: planning by guest count

At our WVU pace of about 60 cards per hour, here’s a starting point, assuming every guest gets one card.

Guests getting a card Estimated activation time
    100 About 2 hours
    200 About 3.5 hours
    300 About 5 hours
500 About 8.5 hours, or a second station

Guests don’t arrive evenly, so build in about 20% extra time for peaks.

    What we need from you

    • Logo files in vector format (AI, EPS or SVG) and brand colors
    • Approval for any team, league or sponsor marks
    • The text fields for the card: names, numbers and stat line
    • Event date, hours and expected guest count
    • A venue contact for load-in, power and footprint

150 Photos, Three Hours, Zero Floor Space: Our Roaming Photo Booth at MLS All-Star Week

On Tuesday, July 28, Truist Field in Uptown Charlotte hosted the MLS All-Star Skills Challenge presented by AT&T — opening night of All-Star Week, the first time the Queen City has held the event, and a live broadcast to more than 100 countries. Thomas Müller broke the shooting record. Charlotte FC’s own Tim Ream won the passing challenge in front of a hometown crowd.

We spent the night in the Diamonds Direct Luxury Lounge, working the room with our roaming photo booth.

Three hours. One unit. One operator. 150 photos delivered, and 98% of guests took them on the spot.

That’s a useful set of numbers, because it explains exactly what a roaming photo booth is good at — and it’s not what most people assume.

What is a roaming photo booth?

A roaming photo booth is exactly what it sounds like: instead of guests coming to the booth, the booth comes to the guests.

Ours is a handheld, battery-powered capture unit with studio-grade lighting built in, carried by a trained attendant who works the room. Guests get a professional-quality photo or short video, and it lands on their phone in seconds by text, QR code, or email. No cords. No backdrop. No line.

The whole cycle — walk up, shoot, deliver — takes about fifteen seconds. See our roaming photo booth page for what’s included.

Why it worked in a luxury lounge

The Diamonds Direct Luxury Lounge was a finished, styled hospitality space. Every square foot was doing a job: seating, bar, sightlines, circulation. There was nowhere to put a booth, and honestly, nowhere a booth would have looked right.

That’s the first reason roaming made sense. No footprint, no cords running across a hospitality floor, no 10×10 block of the room given over to equipment.

The second reason was how guests behaved. Lounge crowds don’t sit still. They move to the bar, out to watch a challenge, back in during the break, over to the windows. They’re mid-conversation constantly. A stationary booth asks all of that to stop — walk over, wait your turn, pose. Most people won’t. A roaming booth doesn’t ask anything; the attendant reads the room and catches groups where they already are.

The third reason: the weather. The Skills Challenge went into a delay after the first two competitions and didn’t resume until later that evening. A delay reshapes a hospitality room instantly — guests come in off the seating areas and the lounge fills up. One person carrying a camera can adapt to that in real time. A fixed installation can’t.

That’s how you get to 150 photos in three hours from a single unit. Roughly 50 an hour, with nobody waiting in line.

Roaming vs. stationary: how to choose

Roaming isn’t automatically better. It’s better for specific situations. Here’s the honest breakdown.

Choose a roaming photo booth when:

    • Your venue has limited floor space, or the good space is already spoken for
    • Guests are spread across multiple rooms, levels, or outdoor areas
    • You want high photo volume without a visible line
    • Your event has a program guests won’t leave — a game, a ceremony, a seated dinner, a keynote
    • You want candid, in-the-moment shots rather than posed backdrop photos
    • You’re running a cocktail hour, a hospitality suite, a tailgate, or a festival footprint

    Choose a stationary booth when:

    • You want props, a custom backdrop, or a branded step-and-repeat as a visual anchor
    • You want printed photo strips guests take home that night
    • Your guest count stays in one room for several hours
    • The booth itself is meant to be a destination — a photo moment people plan around

Plenty of our Charlotte clients book both: a stationary booth in the reception hall, a roaming unit working cocktail hour and the patio. Different jobs.

    What guests actually get

Every capture from the roaming booth includes:

    • Professional lighting, so photos look good in a dim lounge or a bright afternoon tent
    • Instant delivery to the guest’s phone — AirDrop, SMS, QR, or email
    • Custom overlays, frames, and branding applied automatically
    • Photo, boomerang, GIF, or short video formats
    • A full digital gallery delivered to the host after the event

That last one matters more than people expect. After the event you get every photo in one place — usable for recaps, social posts, thank-you emails, or just remembering the night.

Bringing this to your Charlotte event

We’re based in Charlotte and serve the whole metro — Uptown, South End, NoDa, Ballantyne, Matthews, Concord, Huntersville, Fort Mill, Rock Hill, and the Lake Norman and Lake Wylie communities.

    Roaming works especially well for:

    • Weddings — cocktail hour, the patio, the dance floor, the send-off
    • Corporate events — conferences, holiday parties, product launches, hospitality suites
    • Nonprofit galas — table-to-table during seated dinner, no line, no disruption
    • Festivals and outdoor events — where there’s no power drop and no square footage to spare
    • Venue open houses and grand openings — capture guests as they move through the space

If your floor plan is tight or your guests won’t sit still, roaming is probably the answer.

  • How to Choose a Photo Booth Rental in Charlotte: 7 Questions to Ask

How to Choose a Photo Booth Rental in Charlotte: 7 Questions to Ask

Most photo booth companies look the same on a search page: a smiling couple, a backdrop, a “from” price. The differences show up on the day, when the booth has no attendant, the hours run out before the dance floor fills, or the prints look like phone photos. These are the seven questions we’d ask if we were the ones hiring, to help you choose a photo booth rental in Charlotte that delivers what the listing promised.

Guests using a photo booth rental at a Charlotte event

    1. Is an attendant included, and for how long?

An attendant keeps the line moving, fixes a paper jam in seconds and gets the shy guests in. At a wedding or a corporate party, a booth without one usually ends up half-used. Ask whether the attendant is included or extra, and whether they stay for every hour you booked.

Some booths are built to run without one. A digital booth where guests send photos to their own phones works fine unattended at a casual party. Just know which kind you’re getting before you compare prices.

    2. How many hours do you get, and is setup on your clock?

A starting price means little without the hours attached. Ask how many hours the package includes, what each extra hour costs, and whether setup and pack-down come out of your time. With us, a 3-hour package means 3 hours of photos: we arrive about an hour before your start time and pack down after.

Three hours covers most weddings and parties, from the end of dinner through the last dance. If you want the booth open from cocktail hour, plan for more.

    3. What camera and lighting does the booth use?

This is where photo quality is decided. Tablet-based selfie booths are cheaper, but the photos look like phone photos, especially in a dim ballroom. A booth with a professional camera and studio lighting gives sharp, flattering photos that hold up when printed.

Ask to see a few full-size photos from a real event, not just the company’s best social posts.

    4. What do guests take home?

Ask exactly what each guest leaves with. Are prints unlimited or one per session? What size? Can guests send photos to their phones by text, email or QR code? Do you get a full gallery after the event, and how soon?

If prints matter to you, check that the package actually includes a printer. Some lower prices are digital-only.

    5. Can the design match your event?

The print template should carry your names and date, your company logo, or your event colors, not a generic frame. Ask who designs it, whether you approve it before the day, and what backdrops are available. A booth that looks like part of the room gets used far more than one pushed into a corner.

    6. Will the booth fit your venue?

Most booths need about 10 by 10 feet of floor space and an outlet within reach. A 360 booth needs more room for the spinning arm, and many magazine booths need around 7 feet of ceiling height. Also ask:

    • Have you worked at my venue before?
    • Will you coordinate load-in and placement with the venue or planner?
    • Can you send proof of insurance? Many Charlotte venues require it.

Our Charlotte wedding venue guide lists the rooms we’ve already set up in.

    7. What’s in the price, and what costs extra?

Two quotes with the same number can buy very different nights. Ask what’s included and what’s added later: travel, extra hours, an attendant, backdrops, props, custom design. Get it in writing before you pay a deposit.

For real Charlotte numbers, see our photo booth rental cost guide or our package prices.

Red flags when comparing photo booth companies

    • A price with no hours attached
    • No attendant on a wedding or corporate quote
    • No proof of insurance when you ask
    • No photos from real events, only stock images
    • Reviews that never mention the person running the booth

How to choose a photo booth rental: the quick checklist

    1. Is an attendant included for every hour?
    2. How many hours, and what does an extra hour cost?
    3. Professional camera and studio lighting, or a tablet?
    4. Unlimited prints, phone sharing and a full gallery?
    5. A custom template you approve before the day?
    6. Space, power, insurance and venue experience?
    7. Everything included, in writing, before the deposit?

    FAQ

How far ahead should I book a photo booth?

As early as you can, since most companies book dates first come, first served. Custom designs need extra lead time; we ask for at least 3 weeks.

Do I need an attendant for a photo booth?

For weddings and corporate events, yes. An attendant keeps guests moving and handles any problem on the spot. A digital booth can run without one at a smaller, casual party.

How much space does a photo booth need?

About 10 by 10 feet and an outlet nearby. A 360 booth needs more clearance, and a magazine booth may need around 7 feet of ceiling height.
